3. Purposes of Personal Data Processing

3.1. Submission of a Spontaneous Application


Data submitted through the spontaneous application form is processed exclusively for recruitment and selection purposes.

- Assess candidate profiles against existing or future opportunities;

- Contact candidates regarding recruitment processes;

- Include candidates in an internal talent database.


Legal basis: pre-contractual measures requested by the data subject.


Retention period: your data will be retained until 31 December of the third year following submission, without prejudice to longer retention where required to conclude the recruitment process and/or, in the event of hiring, according to employee data retention policies.


3.2. Chatbot (Virtual Assistant)


The chatbot available on the NIW website enables users to obtain quick and automated responses.

Conversations may be recorded for the purposes of:


- Answering questions;

- Forwarding requests to NIW teams;

- Continuous improvement of functionality and service quality;

- Abuse prevention and security.


Legal basis: pre-contractual measures requested by the data subject and NIW’s legitimate interest.


Retention period: up to 4 months after the interaction, unless legal or operational requirements justify longer retention.
